About Our District

The Madison Metropolitan School District is the second largest school district in Wisconsin. The district serves a beautifully diverse population of more than 27,000 students. Purpose of Position: Provide administrative and clerical support for year-round MSCR fitness and sports programs and staff.

Essential Functions, Duties, and Responsibilities

Develop a thorough understanding of MSCR programs (i.e. season calendars, program descriptions and schedules, facilities, fees, registration procedures)

Serve as lead clerical support for youth & adult fitness programs and youth sports, including instruction, leagues and camps.

Prepare, distribute, and track pre-employment paperwork and contract agreements for part-time and seasonal staff. Process employee payroll and maintain and organize databases of seasonal employees.

Provide excellent customer service, information, and assistance to the public.

Communicate with community members, staff, and supervisors via multiple communication methods (phone, email, website postings, mailings, walk-ins).

Process program registrations using Activenet, TeamSideline and Google documents.

Respond to requests for information and questions in a timely manner

Collect and deposit program fees and manage payments

Maintain accurate records and assist with data collection.

Prepare materials and information for the MSCR program guide.

Regular communication with supervisor/staff in a timely manner.

Provide reception coverage, as scheduled.

Create brochures and program flyers

Provide backup support for other MSCR Program Assistants.

Provide clerical support as requested by MSCR Supervisor and Specialists.

Work as part of the MSCR Fitness & Arts and Sports & Aquatics Team and assist with other duties as assigned in that department.

Actively participate in team and department meetings and professional development.

Other duties as assigned.

Skills, Knowledge and Abilities
Organizational skills and the ability to prioritize multiple tasks, work under tight deadlines, use effective time management, and work with interruptions.

Ability and comfort level with learning new technology/software and HR processes.

Ability to maintain accurate and confidential records.

Ability to work independently and with efficiency.

Knowledge of generally accepted accounting and/or recordkeeping practices.

Ability to communicate with a diverse clientele and staff in a courteous and professional manner, both oral and written.

  • Locations
  • Hours a Week:

    40 hours per week.

  • Work Hours:

    8 hours between 8am and 5pm.

  • Pay Rate:

    $25.73

  • Minimum Qualifications:

    Three years of successful office experience or a combination of experience and formal training equivalent to three years

    ● Excellent problem-solving ability

    ● Ability to proficiently use a PC, and software including Microsoft Word, Excel, Gmail, Google Calendar and Google Drive

    ● Ability to communicate with a diverse clientele and staff in a courteous and professional manner, both orally and in writing

    ● Experience working cross-culturally and/or commitment to work towards improving one’s own cultural competence, i.e., valuing difference/diversity, recognizing personal limitations in one’s skills and expertise, and having the desire to learn in these areas

  • Preferred Qualifications:

    Experience working in database systems. Examples include: ACTIVENET, MUNIS, TeamSidelines, & Children’s Long-Term Support (CLTS) Program.

    ● Ability to work effectively and efficiently, balancing multiple tasks and programs and the work of several supervisors.

    ● Ability to work with multiple supervisors and adapt to different work styles

    ● Bilingual in Spanish.
